2025 | CANCELLATION POLICY

Session Reschedule and Cancellation Policy

 

It is recognized that circumstances may arise requiring either the Client or the Coach to cancel or reschedule a session. Both parties agree to act in good faith and make reasonable efforts to accommodate such requests.

 

Notice Requirements Non-emergency schedule change requests must be submitted with at least 48 hours’ notice for telephone and virtual sessions, and at least 72 hours’ notice for in-person sessions.

 

Emergency cancellations or reschedule requests should be communicated as soon as possible via text or phone at +1 202-236-1051. Session Types and Fees Telephone and Virtual Sessions: Minimum 48-hour notice for non-emergency changes. Minimum 24-hour notice for emergency changes. Coach may, at their discretion, reschedule missed sessions as a goodwill gesture. In-Person Sessions: Require a minimum of 72 hours’ notice for cancellations or rescheduling. Cancellations made within less than 72 hours will incur a 20% cancellation fee, which may be credited toward a rescheduled session.

 

Client is responsible for reimbursing any travel-related expenses incurred by the Coach (e.g., transportation, lodging, auto rental). Coach will make reasonable efforts to reschedule missed in-person sessions.

 

Client Responsibilities Client must notify Coach promptly of any cancellations or schedule change requests within the specified notice periods. Client is responsible for rescheduling any cancelled sessions. Failure to do so within the month may result in forfeiture of the session without reimbursement. Failure to schedule any monthly sessions, or cancellations/reschedules made outside the notice window, are subject to payment and session forfeiture at Coach’s discretion.

 

Coach Responsibilities Coach will notify Client promptly if a session must be cancelled or rescheduled. Coach will make every effort to reschedule missed sessions. Should the Coach fail to reschedule a cancelled session, an additional session will be provided at no cost to the Client. Payment and Forfeiture Coach reserves the right to bill Client for missed or cancelled meetings not in compliance with this policy.

 

All cancellation and rescheduling terms are governed by the signed Contract Agreement and the Booking Service Online Agreement used by the Client.

 

2025 | PRIVACY & RECORDKEEPING​

WildGeese AmongUs Coaching Confidentiality and Data Protection Policy

1. Purpose
This policy establishes WildGeese AmongUs’s commitment to maintaining strict confidentiality and data security in full compliance with the International Coaching Federation (ICF) Code of Ethics throughout all coaching engagements.

2. Confidentiality and Data Security
~ All coaching session notes, records, and related materials are strictly confidential and securely maintained using industry-standard encryption and access controls during the engagement.
~ Access to coaching records is restricted solely to authorized personnel involved in the coaching process.
~ WildGeese AmongUs utilizes an electronic note-taking platform that anonymizes participant identities to safeguard privacy and prevent unauthorized disclosure.

3. Use of Virtual and Scheduling Platforms
~ Currently, WildGeese AmongUs employs WIX Online Scheduler for appointment coordination and Zoom as the primary platform for virtual coaching sessions. Both platforms have been selected based on their security features, ease of use, and reliability.
~ WildGeese AmongUs will continuously assess the security, privacy, and compliance posture of all technology platforms used in coaching delivery to ensure alignment with best practices and client expectations.
~ In circumstances where organizational policies, regulatory requirements, or client preferences necessitate the use of alternative scheduling or virtual communication platforms, WildGeese AmongUs is prepared to transition accordingly.
~ Such transitions to alternate platforms may impact operational efficiency and require additional administrative effort. In these cases, clients and sponsoring organizations will be informed in advance of any potential administrative charges associated with these adaptations.

4. Data Retention and Destruction
~ Coaching records and notes are retained only for the duration necessary to fulfill the engagement obligations.
~ Upon conclusion of the engagement, all records and notes will be securely and permanently destroyed unless prior written consent is obtained from both the primary coaching partner and the sponsoring organization.

5. Compliance with Client and Organizational Policies
~ WildGeese AmongUs will collaborate with the client or sponsoring organization to confirm that data handling, confidentiality practices, and technology platforms align with organizational policies and applicable legal and regulatory requirements.
~ Where alternative procedures or platforms are mandated, WildGeese AmongUs will implement them promptly to ensure compliance and client satisfaction.

6. Ethical and Legal Compliance
~ All coaching activities strictly adhere to the ICF Code of Ethics, ensuring respect for client autonomy, confidentiality, and professional integrity.
~ Disclosure of confidential information will only occur with prior written consent, except where legally mandated or necessary to prevent imminent harm, with disclosures managed in full compliance with legal and ethical obligations.

7. Policy Review and Accountability
~ This policy is subject to regular review to maintain compliance with evolving ethical, legal, and regulatory requirements.
~ WildGeese AmongUs commits to upholding the highest standards of confidentiality and data protection, ensuring accountability to clients and sponsoring organizations.

8. Requests for Alternative Arrangements
~ Clients or sponsoring organizations requiring alternative platforms, enhanced security measures, or modified scheduling processes should submit a formal written request to WildGeese AmongUs as early as possible to allow adequate time for review and implementation.


~ Each request will be evaluated to ensure it meets both the client’s needs and WildGeese AmongUs’s compliance and security standards.
~ When alternative arrangements are feasible, WildGeese AmongUs will collaborate with the requesting party to implement the changes while maintaining confidentiality and data protection.
~ Please note that changes to standard platforms or procedures may impact operational efficiency and could incur additional administrative fees. These fees will be communicated in advance and require agreement prior to implementation.
~ WildGeese AmongUs reserves the right to decline requests that compromise security, confidentiality, or compliance with applicable ethical or legal standards.

2025 | FEES & PAYMENTS​​

For your convenience, WildGeese AmongUs accepts the following payment options:

 

Preferred Payment Method - ACH (Automated Clearing House): ACH transfers are preferred for secure, efficient processing, especially for larger or recurring payments such as payroll or business-to-business (B2B) transactions. Bank details for ACH transfers will be provided upon request.

 

Wire Transfers: For one-time, bank-to-bank transfers, often used for international payments or large sums. The Client or Sponsoring Organization is responsible for any associated fees, including but not limited to international transaction or wire transfer fees.

 

Purchasing Cards (P-Cards), Virtual Cards, Corporate Cards, Fleet Cards, Ghost Cards (Lodge Cards), Declining Balance Cards, Single-Use Accounts (SUAs), ePayables, and Grant/Benefit Disbursement Cards.

Clients may be responsible for various fees depending on the configuration and provider, such as: card issuance fees, monthly or annual account maintenance fees, transaction fees, interchange fees (typically passed through), setup/integration fees, and in some cases, fees for expedited payments or custom reporting. However, many virtual card and ePayables programs offset costs or even provide rebates based on transaction volume. Corporate credit card payments will incur a merchant transaction fee of up to 4%. Payments made via credit card or electronic bank transfer are subject to this additional fee. Check Payments: Checks should be mailed promptly to avoid any delays.

 

The Client or Sponsoring Organization is responsible for ensuring the timely receipt and processing of checks. Note: Any additional fees imposed by the Client's or Sponsoring Organization's bank, including wire transfer fees, international transaction fees, or any other charges, will be the responsibility of the Client or Sponsoring Organization. These fees will not be covered by the Coach.

 

Billing & Reporting Invoices & Reports: Invoices will include a detailed monthly report outlining sessions, progress, and action items. This report will be prepared in consultation with the Client and Sponsoring Organization and adhere to the ICF Code of Ethics. Late Payments: Payments not received within 31 days of the invoice date will incur a 1.5% monthly late fee on the outstanding balance. If payment is outstanding for 45 days, services may be suspended until payment is received. Missed or Rescheduled Sessions Missed Sessions: Any sessions missed or not rescheduled with 48 hours' notice may be billed in full as if the session were held.

 

The Client or Sponsoring Organization is responsible for adhering to the scheduling policies. Additional Terms Sliding Scale: A sliding scale may be offered for nonprofit organizations, individuals in need, or those in service professions. This will be discussed and agreed upon before the engagement. Reimbursable Expenses:

 

Any business-related expenses such as travel, lodging, or other costs incurred for services will be billed separately. These expenses do not report as income on Form 1099. IRS Compliance: The Client agrees to complete IRS Form 1099 as required by IRS and state regulations.

 

Please note: Merchant Service Fees and Reimbursable Expenses do not report on Form 1099 as income. By signing this agreement, the Client (or Sponsoring Organization) acknowledges and agrees to the payment terms and conditions outlined above.

 

2025 | $ | REIMBURSABLE EXPENSES

CLIENT AGREES TO REIMBURSE Reasonable Expenses incurred by WildGeese AmongUs related to completion of this project including but not limited to: transportation, mileage, accommodations, meals, supplies, contract labor, and/or additional items articulated in the PROPOSAL or SCOPE OF WORK. WildGeese AmongUs must seek preapproval and provide documentation for any reimbursable expenses. Mileage expenses will be invoiced at the current IRS rate in effect. NOTE: Reimbursable Expenses DO NOT REPORT as income on IRS FORM 1099.

2025 | SCOPE & TERMS EXECUTIVE COACHING​

The parties agree to engage in a structured Executive Coaching partnership designed to support the Client’s personal, professional, and/or organizational growth and goal attainment.

This engagement will be guided by the International Coach Federation (ICF) Code of Ethics and Core Competencies, ensuring a confidential, client-centered, and results-oriented coaching experience.

 

Purpose and Process: Executive Coaching sessions will focus on facilitating the Client’s exploration, awareness, and development of actionable strategies to achieve clearly defined goals. Coaching will support the Client in enhancing leadership capacity, decision-making, emotional intelligence, and overall performance in alignment with their personal and professional objectives.

 

Session Delivery: Coaching sessions will be conducted primarily through telephone or secure virtual electronic platforms (e.g., Zoom, Microsoft Teams). In select circumstances, in-person sessions may be scheduled, contingent upon mutual agreement and subject to additional travel-related fees (including travel time, mileage, parking, lodging, meals, and materials). These fees will be communicated and agreed upon in advance.

 

Availability and Communication: The Coach will provide reasonable availability for communication between scheduled sessions via email and/or voicemail during regular business hours (9:00 AM – 5:00 PM ET). While ongoing support is encouraged, it is understood that coaching communication outside scheduled sessions will remain within professional boundaries and availability.

 

Client Commitment: Effective coaching requires the Client’s active participation, openness, and willingness to engage authentically in the process. The Client agrees to approach each session with a reflective mindset and readiness to explore new perspectives and behaviors. Mutual, honest feedback between Coach and Client is essential to tailor the coaching experience for optimal impact.

 

Confidentiality: All coaching conversations and materials shared within this engagement are confidential and will be handled in accordance with ICF ethical standards. Exceptions apply only as required by law or with the Client’s explicit consent. By entering into this agreement, both parties commit to a collaborative, growth-focused coaching relationship aimed at empowering the Client’s success and sustained development.

International Coaching Federation (ICF) Code of Ethics Effective January 1, 2025 EXECUTIVE SUMMARY FOR CLIENTS

1.0 PURPOSE

The ICF Code of Ethics describes the ethical practices of ICF professionals (including ICF credentialed coaches, members, and participants in ICF-accredited education programs). It outlines a collective set of values, ethical principles, and ethical standards for all ICF professionals. The Code serves to uphold the integrity of ICF and the global coaching profession by:

1.1 Setting standards of behavior consistent with ICF’s core values and ethical principles

1.2 Guiding ethical reflection, education, and decision-making

1.3 Holding ICF professionals accountable to the standards of behavior set forth in the Code

They are committed to continuous development to enhance their impact and performance.

 

Respect: ICF professionals honor the dignity, potential, and worth of each individual. They respect the rights of all parties involved

Responsibility: ICF professionals recognize and honor the responsibility they have to their clients, sponsors, stakeholders, society, and the coaching profession
